Employees 

On Employees, view the Employees within your Organization, edit their profiles, and add new ones.

  • The Location and Department columns in the Employees grid specify the location and department names of an Employee's assigned Home Cost Center (Hide the imageSee the image.) These columns are empty if an Employee is not assigned to any Home Cost Center. For details, see Assign Home Cost Center.


To access the needed Employees faster, apply Filters that will be preserved on this specific page.

Add or import Employees

You can add new Employees and their details into Einstein II IRP in either of the following ways:

  1. Add an Employee manually by entering their details and setting up work commitments, departments, and credentials. For details, go to Add Employee.
  2. Import multiple Employees at a time by completing the information in the Excel template file and then uploading it into Einstein II IRP. For details, go to Import Employees.
    • You may import Employees only if you have the proper permission.

If the proper configuration is enabled for your Organization, adding a new Employee profile (with Active status) automatically creates a new Employee user with the specified details if no such user already exists.

Edit Employee's profile details and status

To edit an Employees' profile details and status:

  1. Select the edit icon  next to the needed record in the grid.
  2. On the Edit Employee page, make the needed changes.
    To change the Employee's profile status, on Employee Profile, from the Profile Status dropdown list, select the needed option (Hide the imageSee the image.) For details about the statuses, see Employee's profile statuses.


  3. Select Save in the upper right.
  4. To return to the Employees grid, select Back in the upper left.
  • Changing the Employee's skills, profile status, or End Dates of the departments or work commitments may impact the Employees' assigned departments, schedule, and the orders they are onboarded to.

    As a result, the Employee may be cancelled on the corresponding position(s), and the respective booking(s) may be removed from their schedule.

    When saving your edits, you can create a new Per Diem order to replace the cancelled Per Diem position by selecting the Create replacement Order checkbox.

View Employee's historical deployment

You can view details of the Employee's deployment within your Organization on the Employee's profile > Historical Deployment tab. Hide the imageSee the image.


This tab contains all the positions (LTA and Per Diem) where the Employee is Onboard, Offboard, or Cancelled, as well as their scheduled bookings not linked to any orders (added from Scheduling).

By default, the grid shows the records for the last 90 days. Apply Filters to narrow down the list based on your specific request.

View Employee's active work commitments

You can view the Employee's active work commitments on the Employee Profile tab > Active Work Commitments section. Hide the imageSee the image.


View Employee's monthly schedule

You can view the current month's schedule for a specific Employee by selecting the calendar icon  next to the Employee's name in the Employees grid. Hide the imageSee the image.


Inactivate Employee

You can inactivate an Employee in either of the following ways:

Option A

  1. Edit  the needed Employee.
  2. On the Employee Profile tab > General Info section, from the Profile Status dropdown list, select Inactive.
  3. Specify the Inactivation Date and select the Inactivation ReasonHide the imageSee the image.


  4. Select Save in the upper right.
  5. In the Warning dialog, confirm the inactivation. Optionally, you can select the Create replacement Order checkbox to create a new Per Diem order to replace the cancelled Per Diem position the inactivated Employee was onboarded to (if any). Hide the imageSee the image.


Option B

  1. In the Employees grid, select the delete icon  next to the needed Employee.
  2. In the Inactivate the Employee dialog, select the Inactivation Reason and specify the Inactivation Date. Optionally, you can select the Create replacement Order checkbox to create a new Per Diem order to replace the cancelled Per Diem position the inactivated Employee was onboarded to (if any). Hide the imageSee the image.


  3. Select Inactivate.

After inactivation, the Employee's profile status changes to Inactive. On Order Management, this Employee becomes Cancelled on all the positions they were onboarded to.

Export Employees

To export details about Employees from the grid or after applying filters, select Export in the upper right of the Employees page and choose the needed format. Hide the imageSee the image. You can also export specific Employees by choosing them in the grid using checkboxes and selecting Export.


By default, all the columns from the grid are exported. By selecting the Custom option, you can change the document title and choose which columns you want to export.

  • You may export Employees only if you have the proper permission.

Employee profile statuses

Profile status is the status of an Employee profile in the system. By default, the following profile statuses are available in the system:

Employee profile status Meaning and restrictions
Incomplete Before the Employee profile is saved with all the required data.
Active

The Employee can be matched, applied, and onboarded to orders.

The Employee user can log in to and use the Einstein II/Einstein II Plus app.

Inactive

After the specified Inactivation date:

  • The Employee cannot be matched, applied, and onboarded to orders.
  • The Employee cannot be scheduled for bookings, availabilities, and unavailabilities.
  • The Employee is cancelled on all the positions where they were onboarded.
  • All the events scheduled for the Employee after the Inactivation Date are removed.
  • All the Employee's active work commitments are ended and all the future work commitments are deleted.
  • The Employee user cannot log in to Einstein II/Einstein II Plus app.
On Hold

During the Employee's On-Hold period

  • The Employee is cancelled on all the positions they were previously onborded to.
  • The Employee is not displayed on all the Per Diem orders they were previously applied to.
  • The Employee cannot be matched, applied, and onboarded to orders.
  • The Employee cannot be scheduled for bookings, availabilities, and unavailabilities.
  • On Scheduling, the bookings already scheduled within the Employee's on-hold period are marked as On Hold or removed (depending on the option selected when setting the status). Hide the imageSee the image.


  • On Scheduling, all the dates (with no scheduled bookings) within the Employee's on-hold period are marked with the unavailability icon .
    For details, go to Work with the Scheduling grid.
  • If you do not set the End Date of the Employee's on-hold period, the default value will be used. This period will be constantly extended by that value until you manually set the End Date or change the status on the Employee's profile.
  • The Employee user can log in to and use the Einstein II/Einstein II Plus app with restrictions.

Custom Employee profile statuses

In addition to the default Employee profile statuses, your Organization may add custom statuses that can have the flows corresponding to those of the default statuses (Active/Inactive, On Hold), based on the configured settings.

If the Sourcing configuration is turned ON for your Organization or its specific department(s), two additional flow options can be used for the custom profile statuses:

  • Sourcing
    • Source ID is required instead of Employee ID (disabled).
    • An Employee cannot apply to/be offered orders.
    • An Employee will not receive a Welcome email after being added in the system.
  • Sourcing with functionality:
    • Source ID is required instead of Employee ID (disabled).
    • An Employee is displayed with the sourcing icon  on Order Management.
    • An Employee can be applied to/offered a position without the required credentials and without being oriented. 
  • Please contact your Administrator/Manager to learn more about your Organization's custom statuses.
