Transition Employee b/w statuses (LTA)

Before onboarding an Employee to an LTA order, you can transition them between other optional statuses depending on your order workflow. This allows you to apply, shortlistoffer, accept, or reject an Employee within an order workflow.

  • To move Employees between certain statuses, you might need specific permissions.

To change an Employee's status on an LTA order:

  1. On Order Management, select the needed LTA order to open its details.
  2. In the order details sidebar > Employees tab > Employees section, view all the eligible Employees matching the order's requirements. Hide the imageSee the image.
    • The  icon next to an Employee's name indicates that this Employee is not oriented in the corresponding department for the order period. To proceed, first, orient the Employee. For details, go to Orientation.

  3. In the Employees section, select the edit icon  next to the needed Employee.
  4. In the Edit Employee sidebar, from the Select Status dropdown menu, select the needed status (Hide the imageSee the image).
    You can also edit the Employee's start and end dates, depending on the selected status.
    • Statuses available in the dropdown menu depend on the current Employee's status. For details, see the table below.


  5. Select Save.

After applying, shortlisting, or offering at least one Employee, an order moves from the Open to In Progress status. For details, go to Order and Employee statuses.

Possible transitions b/w Employee's statuses on an LTA order

Status Possible transitions Comments
Not Applied Applied, Offered, Onboard. You can onboard an Employee directly from this status (if permission allows). For details, go to Onboard Employee (Per Diem and LTA).
Applied Shortlisted, Offered, Onboard, Rejected. When applying an Employee, you can provide their Available Start DateDate an Employee is available to start work if it differs from the order's start date. 
Shortlisted Offered, Onboard, Rejected. When shortlisting an Employee, you can provide their Available Start DateDate an Employee is available to start work if it differs from the order's start date.
Offered Onboard, Accepted Rejected.

When offering a position to an Employee, you can provide the Offered Start DateDate when the Organization offers an Employee to start work and Offered End DateDate when the Organization offers an Employee to finish work. if they differ from the order's dates.
These dates will be used as the Actual Start DateThe first day an Employee will begin work and Actual End DateThe last day an Employee will work during onboarding (can be edited).

Withdrawn Applied, Shortlisted, Offered, Onboard, Rejected. Only an Employee can set their own status to Withdrawn.
Accepted Onboard, Rejected.

The Organization can accept an offered position on behalf of an Employee (if permission allows).
When accepting an offer, you can edit the Actual Start DateThe first day an Employee will begin work and Actual End DateThe last day an Employee will work, which are prepopulated with the offered start and end dates.
After the Employee's status becomes Accepted, the corresponding position is considered filled.

Rejected

Revert to the previous status (if permission allows).

  • This is not possible for Closed/Filled orders and On Hold Employees. For details, go to Employee's statuses.
When rejecting an Employee, you must select the rejection reason from the predefined options.
Onboard Cancelled. For details, go to Cancel Employee.
