Onboard Employee (Per Diem and LTA)  

Depending on the order type, follow the corresponding steps on this page to onboard Employees to orders.

  • You must have corresponding permission (configured for the default or custom order workflow) to onboard Employees.

Onboard an Employee to a Per Diem order

To onboard an Employee to a Per Diem order:

  1. On Order Management, select the needed Per Diem order to open its details.
  2. In the order details sidebar > Employees tab > Employees list, view all the eligible Employees matching the order's requirements. Hide the imageSee the image.
    • The compass icon   next to an Employee's name indicates that this Employee is not oriented in the corresponding department for the order period. To proceed, first, orient the Employee. For details, go to Orientation.
    • Applied Employees are the ones with full or sufficient availability match.
      The Overlap (Hrs) column indicates the number of hours that overlap between the Employee's availability and order time. Hide the imageSee the image.
      • If your Organization has enabled partial order creation and the Employee's availability does not cover all hours required for the order, a new order will be created for the remaining hours once the Employee is onboarded, as long as the leftover hours meet the configured value.

        If an Employee is already scheduled for a booking (Onboard/Offboard status), the Overlap (Hrs) column indicates the number of scheduled hours. To check the booking's start and end time, hover over those hours.
          


    • Not Applied Employees are those without any availability or the required availability match. Such Employees will always be scheduled for the full order time after onboarding.


  3. In the Employees list, select the calendar icon  next to the needed Employee.
    • If the calendar icon is inactive  for the Not Applied Employees, check one of the following possible reasons:
      1 To proceed with onboarding, your Organization requires adding the matching availability first. For details, go to Add availability/unavailability.
      2 All the open order positions are already occupied.

Onboard an Employee to a Per Diem order via scheduling

You can also onboard Employees to the currently open Per Diem orders on Scheduling in one of the following ways:

In both cases, an Employee is onboarded to the matching order, which is reflected on Order Management and Scheduling.

Onboard an Employee to an LTA order

To onboard an Employee to an LTA / LTA - Rapid Response order:

  1. On Order Management, select the needed LTA order to open its details.
  2. In the order details sidebar > Employees tab > Employees list, view all the eligible Employees matching the order's requirements (Hide the imageSee the image.)
    The Employees might appear with different statuses here depending on the previous transitions (if any). For details, go to Transition Employee to optional statuses (LTA).
    • The compass icon   next to an Employee's name indicates that this Employee is not oriented in the corresponding department for the order period. To proceed, first, orient the Employee. For details, go to Orientation.

      The suitcase icon    next to an Employee's name indicates that this Employee is already working on another order that overlaps the current order's dates. You can still onboard such an Employee if their current deployment is in another department. To exclude deployed Employees from the Employees list, use the Include Deployed toggle.
      Note: You can view the already deployed Employees only if this option is configured for your Organization.


  3. In the Employees list, select the edit icon  next to the needed Employee.
  4. In the Edit Employee sidebar, from the Select Status dropdown menu, select the Onboard status (Hide the imageSee the image.)
    If the Employee's Actual Start DateThe first day an Employee will begin work and Actual End DateThe last day an Employee will work differ from those specified during the order creation (or during the offer), enter them in the corresponding fields in the Edit Employee sidebar. You can also edit these dates after an Employee is onboarded.
    • Editing Actual Start DateThe first day an Employee will begin work and Actual End DateThe last day an Employee will work for an Employee does not impact the original Order DatesStart Date and End Date on a parent order.


  5. Select Save.

After onboarding

After onboarding, the selected Employee gets the Onboard status on the order and the corresponding position becomes visible on Order Management upon expanding the order by using the arrow  next to it (Hide the imageSee the image.) The order gets one of the following statuses:


  • In progress: if there are still any open positions for the order.
  • Filled: if all order positions are filled with the onboarded Employees.
  • On Order Management, the Avail Pos. column displays how many open positions are left for this order out of all requested ones. For example, 1/2 means that one position remains open out of 2 requested positions, and 0/1 means that there are no open positions left for this order out of 1 requested position. Hide the imageSee the image.


Also, on Scheduling, the corresponding booking is added for the Employee and linked to the order.
